Client project management software, minus the inbox

Most client work runs on email, and it goes the same way every time. The client replies to the wrong thread, copies in their partner, adds a note about the skirting to a message about the invoice, and three weeks later you’re searching “skirting” in Outlook at 10pm. Client project management software should give the client somewhere to look that isn’t your inbox.

In Klusko you invite a client as a guest. A guest sees the projects you’ve added them to and none of your other clients. They can still read your public channels, so put the talk about fees and awkward clients in a private one. On their project they can open the tasks, see where things stand on the board, and leave comments where the work is.

Feedback on the task it’s about

Ask the client to comment on the task itself. The lighting plan task has the PDF attached and the client’s note under it (“can the pendant hang lower?”), with your reply below. When they ask in December why the pendant sits where it does, the answer is on the task.

@mentions work in comments too. If the client tags Chiara, it lands in her Inbox instead of waiting for her to open the project. Keep the conversation the client shouldn’t see in your own channel, where you can type “she’s changed her mind again” in peace.

Sign-off, done with a stage

Klusko has no formal approval button and no e-signatures, and we won’t pretend a comment is a contract. What we’d suggest is a plain set of stages: With us, With client, Approved. When you need a decision, move the task to With client, @mention the client with the question, and give it a due date. When they say yes in the comments, move it to Approved.

The comments stay on the task, so there’s a record of who agreed to what and when. For anything with real money attached, like a £4,000 worktop, we’d still send a written quote and get it confirmed in writing; Klusko is for the forty small decisions in between. When the client insists on email

Some will. Every Klusko task has its own shareable link, so when a client emails to ask how the joinery is going, you reply with the link to the task instead of a paragraph. It probably takes two or three of those before they start checking the project first, and a few clients will never stop emailing, which is fine, because the answer you send them still lives on the task and not in your Sent folder.

Guests come with the Team plan, at £5 per person per month billed yearly or £6 monthly, and during early access every plan is free. Questions about client projects

What can a client see as a guest?

A guest sees the projects you’ve added them to, and none of your other projects or workspaces. They can see the company’s public channels, but not private channels or DMs they haven’t been added to. Inside their project they can follow the tasks and take part in the comments, so their feedback sits next to the work it’s about.

Can clients approve work in Klusko?

Yes, in a simple way. Use a stage called something like Approved, ask the client for a decision in the task comments, and move the task across when they agree. The comment history is your record. Klusko has no formal sign-off button or e-signatures, so keep contracts and quotes in writing elsewhere.

Is each client’s data kept separate?

Mostly, yes. Row-level security in the database keeps your company’s data apart from every other company on Klusko. Between your own clients, the separation is in the app: a guest sees only the projects you’ve added them to, so give each client their own. Everything is stored in the EU, in Frankfurt, and encrypted in transit and at rest. Our security page has the detail, and there’s a data processing agreement if your clients ask for one.
